From Inboxes to Insight – Structuring Communication for Reuse

Communication sits at the heart of maritime operations. Yet when email becomes the system of record, organisations lose control over versioning, accountability, and reuse.

A future-ready foundation requires communication to support structured systems, not replace them. This insight examines how shipping companies can reduce fragmentation by capturing communication as structured operational data.

Establishing strong digital foundations requires clarity on which systems are authoritative for which types of information, and a deliberate approach to how data moves between them. This is particularly important for communication, which still underpins a large proportion of commercial and operational workflows in shipping.

In maritime, communication should not be considered a supporting activity. Rather, it is where commercial intent, operational reality, and risk management combine. Not treating communication as a central aspect of operational data is one of the root causes of fragmentation.

In practice, connecting systems, rather than replacing them, means reducing the number of handover points where humans become the integration layer. This does not mean reducing communication, but ensuring that communication is captured and structured in ways the organisation can rely on.

BIMCO’s survey on the administrative obligations set by authorities for port calls highlights that, in many cases, ship–port digital exchange is still limited to email and file-sharing. This is important because it shows how easily sophisticated internal systems can rely upon unstructured exchange at critical boundaries.

When the boundary is email, the organisation loses control over versioning, context, and reuse.

As long as inboxes act as the default coordination layer, organisations will struggle to create reliable systems of record, no matter how many downstream tools they deploy.

A more resilient approach would be to create a controlled exchange layer inside an organisation which captures key operational and commercial events in a structured way and then exposes that information to different teams through the tools they already use.

This allows communication to support the system of record, rather than becoming it.

DCSA’s framing reinforces this direction at an industry level. It argues that digitisation depends on shifting from legacy channels such as email towards system-to-system communications, and that interoperability is the mechanism that enables the change.

The same principle is true within a shipping company. Teams should collaborate through shared, governed data, not by forwarding files.
