Replacing existing systems is not the answer to better cargo data exchange. This insight shows how connecting current tools through a shared exchange layer can improve visibility and coordination without forcing terminals and carriers to change how they work overnight.
A modern cargo data exchange layer would help shift the current fragmented file-swapping into a more coherent way of working. Instead of sending files back and forth, hoping the other party can make sense of the information, terminals, carriers, and partners could exchange data through a central platform which operates with existing tools.
Planners would continue working with the systems they currently use, publish plans, and pull updates through the platform rather than email. From the carrier side, cargo data exchange would link directly to load lists from booking systems, pre-stowage plans from planning tools, and updates from central planners.
From the terminal side, it would receive stowage proposals, yard status messages, crane plans, and final confirmations. In areas where infrastructure is more advanced, these flows could be exchanged through modern APIs, and where there is less advancement, they could continue as EDI messages or structured spreadsheet uploads.
What needs to change is not the core planning tools themselves, but the way information flows between them. An effective exchange model would allow planners to continue using their existing tools, while adding a lightweight exchange layer that connects systems and standardises the data between them.
The platform could then handle translation between formats, apply basic checks and provide other stakeholders with controlled access to the same plan.
Most current cargo data exchanges occur at two key moments: the pre-stowage plan before arrival and the final EDI after departure. While vessels generate and use operational data during cargo operations, this information rarely flows beyond the ship in a structured manner.
Effective cargo data exchange could provide a shared view of the port call. When arrival times change, terminals would respond with updated berth forecasts and crane plans. As operations unfold, progress updates will be published once and reused by ship, terminal, and central planners.
That shared picture would help make port calls more resilient to disruption. When a berth clashes or there is a weather delay, all parties can see the same constraints and react together rather than rebuilding their own separate plans.
