Cargo data exchange plays a critical role in port operations, yet it consistently fails to deliver the shared visibility modern shipping demands. This insight explains why significant investment in digital systems has not translated into coordinated, reliable data exchange between terminals, carriers, and vessels, and why the gap is becoming harder to ignore.
The cargo data exchange process between terminals, carriers, and vessels is not in an optimised state. This is not due to a lack of digital technology, given that across the maritime industry, terminal operating systems, vessel planning tools, and carrier back-office platforms have become more advanced in recent years.
Automation, optimisation, and internal visibility have improved within many organisations, but these improvements have not developed into a holistic and reliable industry approach to cargo data exchange. The exchange of cargo-related information remains fragmented. Data continues to be transferred through a combination of legacy EDI messages, spreadsheets, emails, and manual interventions, with limited consistency between ports, terminals, and vessels.
As cargo volumes grow and vessel sizes increase, these limitations are having a greater impact on daily operations. Inaccuracies within the process or delays in data exchange are having knock-on effects on stowage planning, berth productivity, and schedule integrity.
In most port calls, structured data flows occur only during the pre-stowage plan before arrival and the final confirmation after departure. Between these stages is a mid-operation phase in which conditions change, plans are adjusted, and cargo priorities shift, yet visibility remains limited.
This leads terminals, carriers, and vessels to make decisions based on partial or outdated information. This often results in stakeholders rebuilding plans separately, rather than working from a shared operational picture.
This has resulted in a fragmented approach, where manual corrections, repeated plan iterations, and last-minute changes have become part of daily operations. As a result, inefficiencies can be found even in highly automated terminals, where the interface between systems is often the problem rather than the capability of individual systems themselves.
There is growing regulatory and operational emphasis on reliability, safety, and efficiency in the maritime industry, meaning factors such as Just-In-Time arrivals, fuel optimisation, improved berth utilisation, and enhanced safety compliance are all influenced by reliable operational data. Without a modern approach to cargo data exchange, improving efficiency in these areas will be difficult.
